As a supplier, you can bid on requests through the Fairmarkit platform directly using the bid request link in your e-mail. You can also sign up for our Fairmarkit Supplier Portal to manage your bids and gain access to our Marketplace where you can bid on requests from all of our customers.
Now that your customers are using Fairmarkit, you will be receiving email requests to bid on items and services they require. The email will look something like this:
The email will give you to the time remaining to bid, a description of what your customer requires, and a link to bid on the request, either by clicking the View Details button, or following the bid link below it. Both of these options will bring you to the bid page, where you can enter your quote number, delivery days, and unit price for the items or services being requested.
For each line item, the buyers will provide a Name, which contains a description of the requested item or service, a QTY, the requested amount of the item or service, and a UOM, which dictates the unit of measure for pricing the item or service. Buyers may additionally provide a Manufacturer, Manufacturer Part Number, UNSPSC, Comments, or Files to help ensure you have the information you need to quote accurately.
The Supplier Quote Number, a reference ID for your pricing, Delivery Days, also commonly referred to as lead time, and Unit Price are the required fields to fill out on a request before submission.
For any individual line items or services you are not able to provide, click the Decline Quote button to share this information with the buyers.
For larger requests, the Export/Import button can be used to respond via an Excel file. More details on this process can be found in our article on Using the Fairmarkit Import Template to Bid on RFQs.
Buyers can also optionally allow for suppliers to suggest alternative items from their own stock. When this is available, the Add Alternative button will provide a pop-up where you can describe the item.
Then, you will be able to specify the Delivery Days and Unit Price for your alternative item, as well as edit the description, or delete the option entirely.
The three dot menu can be used to indicate that an item is Free, change your unit of measure via Convert UOM, or Add Additional Info about this line item.
After clicking Convert UOM, or the pencil icon next to the buyer-provided UOM, you will receive a pop-up that will allow you to change the UOM of your quoted line item.
Fill in the new Amount and UOM and let the buyer know how it relates to the UOM they requested pricing on. The system will calculate your unit price in the original UOM requested by the buyer after you confirm by clicking Change.
Clicking Add Additional Info will provide you with a pop-up where you can specify your SKU, Minimum Order Quantity, Country of Origin, any Comments, or attach any Files as they relate to this line item for the buyer to review.
Buyers can provide additional notes and files for you to review in the Additional Info for Supplier section, and you can add files and notes of your own in the Additional Info for Buyer section. You can also directly ask questions of the buyer via the Questions for Buyer internal messaging service.
After completing all the required fields, click the Submit Quote button to finalize your pricing and share with your customer.
If you need to edit your pricing, you can return to the request page at any point up until the request closes and click the Edit Bid button at the top of the page to update and re-submit your pricing.
If the bid has closed, you will no longer be able to edit your pricing and will instead see a red message here indicating that it is closed.
In the event that you are unable to provide the items or services, the Decline Quote button will inform your customer and give you the option to let them know the reason why, whether you are out of stock, do not carry the particular item(s), or for any other reason. This will help our machine learning algorithms to better recommend you as a potential supplier for future requests.
