When working on a larger RFP, it can be helpful to export your customer's questions to Excel to respond to them there. Then, you can import your responses back to the RFP for your customer to review.
Click on the Export/Import button and select the Export Questions to Excel option to download a formatted Excel file containing the line items from your customer's RFP.
The Question Section column indicates the section of the RFP that the question belongs to. This column is pre-populated by your customer and does not require a response.
The Line # column indicates the line number of the question. This column is pre-populated by your customer and does not require a response.
The Line Type column indicates the type of question you will be responding to, which includes Items, Services, and Conditional Questions. This column is pre-populated by your customer and does not require a response.
The Required column indicates whether this line requires a response in either the Unit Price ($ USD) column or the Non-Price Response column, depending on the Line Type and indicated by the value pre-populated in either column, described later.
The Question Conditions column indicates the condition that must be met in order for the line to require a response. Only a Line Type of Conditional Question will contain a condition, and will reference the line it is conditional on.
The Item/Service Description column contains the Item, Service, or Question to which the customer requires a response. This column is pre-populated by your customer and does not require a response.
The Manufacturer column contains the Manufacturer when shared by the customer for Item lines. This column is pre-populated by your customer and does not require a response.
The MFG Part # column contains the Manufacturer Part Number when shared by the customer for Item lines. This column is pre-populated by your customer and does not require a response.
The UNSPSC column contains the UNSPSC when shared by the customer for Item lines. This column is pre-populated by your customer and does not require a response.
The Quantity column contains the Quantity of the Item or Service as requested by the customer. This column is pre-populated by your customer and does not require a response.
The UOM column contains the Unit of Measure for the line item. This column is pre-populated by your customer and does not require a response.
The Unit Price ($ USD) column will require your response if the field is blank, and not pre-populated with n/a. The title of this field will also change to reflect the currency of the request as chosen by your customer. Because the currency is reflected in the title of the field, only numeric values are necessary.
The Delivery Days column will require your lead time response if the field is blank, and not pre-populated with n/a.
The Non-Price Response column will require your response if the field is not pre-populated with n/a. For a UOM of text, this column will be pre-populated with a value of REQUIRED to indicate that a text response is required for the question provided by the customer in the Item/Service Description column. For a UOM of yes_no this column will be pre-populated with a value of Y/N to indicate that a response of Y or N is required. For a UOM of date or date range, this column will be pre-populated with a value of MM/DD/YYYY or MM/DD/YYYY - MM/DD/YYYY to indicate the format in which the response is required to be entered.
The Supplier SKU column is an optional field where you can provide your SKU number where relevant.
The Supplier Minimum Order Quantity column is an optional field where you can provide your MOQ where relevant.
The Country of Origin column is an optional field where you can provide the two letter code for the Country of Origin of your products where relevant.
The Supplier Comments column is an optional field where you can share any comments relevant to this particular line item.
The Comments from Buyer column will contain any comments your customer has provided relevant to this particular line item. This column is pre-populated by your customer and does not require a response.
The Start Date and End Date columns will contain any start and end dates your customer has provided relevant to this particular line item. This column is pre-populated by your customer and does not require a response.
Once you have completed all required fields, save your file. Then, click on the Export/Import button and select the Import Completed Questions option to upload your Excel file and populate your answers. In the event of any issues with your responses, the platform will import as much information as it can.
